This privacy policy describes how Dr. Laura Cole, ND (*“Dr. Cole”*, “we”, “us” or “our”) collects, uses and discloses personal information through her website colehealth.ca (the “Site”) and related services. Dr. Cole practices in North Vancouver, British Columbia, Canada. Her Site is hosted on Squarespace, uses Google Analytics, Google Ads and Microsoft Advertising for analytics and advertising, and links to social‑media services (e.g., Instagram and LinkedIn). Dr. Cole books appointments through Jane App, a third‑party clinic management platform.
This policy explains how personal information is collected when you visit the Site, book an appointment or interact with our online marketing.
2. Information we collect and how we use it
2.1 Information you provide directly
We collect personal information you voluntarily provide when you:
Contact us or request an appointment – When you fill out a form or contact us through the Site or by email, you may provide your name, contact information, preferred appointment time and other details. We use this information to respond to your request and communicate with you about scheduling, services or other enquiries.
Book an appointment through Jane App – Jane App is a clinic management platform that handles scheduling and appointment management. Jane collects your contact information, such as your name and email address, when you create an account or fill out a form. Jane uses this information to activate your user account and send notices about your appointment. If you create a patient profile, Jane collects authentication credentials (user ID or email and password) to let you log in. Jane may collect billing information from subscribers but does not store credit‑card data; payments are processed by Jane’s PCI‑compliant payment processor.
Subscribe to our communications – With your consent we may send newsletters or marketing emails about our services and promotions. You can opt out of marketing communications at any time.
2.2 Information collected automatically through the Site
2.2.1 Squarespace analytics
Our Site is hosted on Squarespace. Squarespace’s built‑in analytics collect information about your browser, network and device; pages visited before arriving at our Site; and your IP address. It also collects details about your interaction with the Site, such as clicks, internal links, pages visited, scrolling, searches and timestamps. We provide this information to Squarespace so we can learn about Site traffic and activity. Squarespace uses cookies and similar technologies to serve our Site securely and to power analytics. Necessary cookies are always used; analytics cookies will inform you when they are in use using cookie banners.
2.2.2 Google Analytics
We use Google Analytics to understand how visitors interact with our Site. Google Analytics uses first‑party cookies to distinguish one visitor from another and to measure audience engagement. These cookies collect data related to the device or browser, your IP address (Google Analytics does not log or store full IP addresses) and on‑site activities to provide aggregated statistics. 2.2.3 Advertising cookies (Google Ads and Microsoft Advertising)
We use Google Ads (including remarketing) and Microsoft Advertising to display ads about our services.
Google Ads – Google uses cookies for advertising purposes, including serving and rendering ads, limiting the number of times an ad is shown and measuring the effectiveness of campaigns. You can manage your ad settings or opt out of personalised ads through Google’s Ads Settings.
Microsoft Advertising – Microsoft may use cookies to record how many visitors have clicked on an advertisement, which ads were shown and to display interest‑based ads. Jane App uses cookies and web beacons. Cookies are small data files downloaded to your device; your browser lets you manage cookies, display warnings or refuse all non‑essential cookies. Jane uses cookies and web beacons to learn about traffic patterns, measure email open rates, allow users to log in to secure areas and store login credentials. You can delete cookies at any time, but certain cookies are required to use parts of the service.
2.2.5 Social‑media features and external links
The Site links to Instagram, LinkedIn and other social‑media platforms. Social‑media “Like” and “Share” buttons may collect your IP address and the page you are visiting and may set cookies to enable the feature to function. Your interactions with these features are governed by the privacy policies of the third‑party providers. When you follow a link to a third‑party website, we encourage you to review that site’s privacy policy.
2.3 Patient information collected through Jane App
When you book an appointment, patient data such as contact information, health insurance details, appointment history and medical notes may be collected through Jane App. Under Jane’s policies, your clinic or practitioner retains control over Patient Data and determines what patient data to collect, how long to store it and who may access it. Jane stores patient data on secure servers and will only access it on the instructions of the practitioner or if required to address technical issues or legal obligations. Jane acts as a service provider (processor) and does not sell or trade personal information.
3. Legal basis for collecting personal information
Under PIPA (British Columbia) and PIPEDA, organizations must collect, use and disclose personal information for reasonable purposes and with appropriate consent. As a healthcare provider in B.C., Dr. Cole collects personal information to deliver naturopathic care and manage appointments. We obtain consent before collecting, using or disclosing personal information, and we do not require consent for information that is not necessary for providing our services. Consent may be express, deemed or opt‑out. You can withdraw your consent at any time by contacting us; however, withdrawal may affect our ability to provide services.
4. How we use personal information
We use the personal information we collect for the following purposes:
Providing naturopathic care and managing appointments – We use your information to schedule, confirm and conduct appointments, provide healthcare services, maintain clinical records and send appointment reminders.
Operating and improving the Site – We analyse Site traffic and user behaviour via Squarespace and Google Analytics to improve content, security and usability.
Marketing and communications – With your consent, we may send newsletters, updates or promotions about our services. You can opt out at any time. We may use data from Google Ads and Microsoft Advertising to present relevant ads and measure campaign performance.
Compliance and legal obligations – We may use personal information to meet regulatory requirements, respond to legal requests, prevent fraud and protect our rights and property.
5. How we share personal information
We do not sell or trade personal information. We may share information with:
Service providers – We share data with trusted third parties who provide services on our behalf, such as Squarespace for hosting, Google and Microsoft for analytics and advertising, and Jane App for appointment booking. These providers may process data in accordance with their own privacy policies and contracts with us; they may store data in Canada or other countries (e.g., Jane data centres in Canada, the U.S., the U.K. or Australia).
Lawful disclosures – We may disclose personal information if required by law, court order or regulatory authorities, or to protect the rights, property or safety of Dr. Cole or others.
Business transfers – If Dr. Cole’s practice is sold or transferred, personal information may be transferred as part of the transaction, subject to confidentiality obligations and applicable privacy laws.
Patient information collected through Jane App is controlled by the practitioner. Jane will only access patient data at the practitioner’s direction or if required to resolve technical issues or comply with law.
6. Data retention and storage
We retain personal information only as long as necessary to fulfill the purposes described in this policy or as required by law. Patient records are retained in accordance with regulatory requirements for healthcare professionals. Data collected through analytics and advertising cookies are subject to the retention periods defined by the cookie providers (for example, Google Analytics cookies last up to two years. Jane stores data in regional data centres chosen by the practitioner; if no regional centre is available, data is stored in Canada.
7. Security measures
We take reasonable administrative, technical and physical measures to protect personal information. These include:
Secure hosting – Squarespace provides secure hosting and necessary cookies to deliver the Site.
Encrypted connections – We use HTTPS to encrypt data transmitted between your browser and our Site. Jane uses secure data centres and encryption to store patient data.
Access controls – Access to personal information is limited to authorized personnel who require it to provide services. Jane restricts access to patient data to practitioners and designated staff; it requires authentication for user accounts.
No security measures can guarantee absolute security. We encourage you to use strong passwords and to log out of your accounts after use.
8. Your rights and choices
Access and correction – You have the right to request access to and correction of your personal information. You may review or update your contact details by contacting us. For patient records stored in Jane App, please contact Dr. Cole directly, as she controls the data.
Withdrawal of consent – You can withdraw your consent to our collection or use of personal information at any time (subject to legal or contractual restrictions). Withdrawal of consent may affect your ability to use the Site or receive services. Jane permits withdrawal of consent for legitimate interests.
Opting out of analytics and advertising cookies – You can manage cookies through our cookie banner if presented and your browser settings. You can install the Google Analytics opt‑out browser add‑on and adjust ad preferences via Google’s Ads Settings or Microsoft’s opt‑out page.
Marketing communications – You can unsubscribe from marketing emails by using the opt‑out link in the email or by contacting us.

Our services are intended for individuals aged 18 and older. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided personal information to us, please contact us so that we can remove the information.
